Domain Experts for RFP Evaluation

Larger RFP projects often feature a team of evaluators working together on the analysis of vendors' responses. Work will generally be divided according to the specific skills and knowledge of each evaluator.

For example, an IT RFP might contain the following sections, allocated to the users indicated:

1. Company Financial Strength Bob
2. Product Functionality Alice
3. Deployment & Integration Fabricio
4. Support Options Fabricio
5. Pricing Bob

Alice, an IT consultant, is an expert on the functional characteristics of this product category. So she is the ideal candidate to assess vendors in this section of the RFP.

System Upgrade - Classified Organizations

Organization Types

Organizations in SupplierSelect are now classified as one of the following "Types"

  • Respondent
  • Buyer
  • Consultant

There is a single login form which routes users to the appropriate section of the site after authentication.

RFPs are supposed to be about transparency, fairness and objectivity. These values are especially important in the following cases:

  1. Public Accountability. Government or other public sector organizations must be able to demonstrate that public money is being is being well spent. Transparent eTendering - Publishing Criteria Weightings

SupplierSelect helps buyers ("contracting authorities") to comply with procurement regulations by providing a number of project settings which change the behaviour of the RFP. Many of these are driven by the European Union's directives on public sector contracting. We've now added a new setting - "Expose Weightings to Respondents".

RFP Scoring Analysis with Excel Pivot Tables

Scoring data from RFP / RFx projects is used in different ways by different organizations. It can be statistically manipulated, analyzed or used to produce charts and reports. To facilitate these activities SupplierSelect provides a way of exporting scoring data for maximum flexibility. This is the "Raw Data Export" report reached under Project -> Reports using the "Raw Data" link under "Analysis". Writing Good RFP Questions

  1. The "best" vendor is the one most suited to your requirements
  2. The only "expert" is yourself - the buyer. Stay focused on your requirements
  3. Don't be afraid to let the vendors educate you about their products or services
  4. Closed questions (multiple choice) are better than open questions
  5. Fewer good questions are better than many questions of variable quality
